Our CommitmentAt Kleenmaid we understand the importance of protecting your right to privacy and have therefore prepared this policy to help you understand how we aim to protect the privacy of your personal information. The Privacy Act from 21 December 2001 includes laws that regulate the way private organisations, like Kleenmaid and our service providers, handle 'personal information', including 'sensitive information' such as health details.
The Act contains 10 National Privacy Principles that regulate, among other things, how organisations collect, store and protect the quality of personal information. The principles also outline how these organisations should use and share personal information with other organisations. The National Privacy Principles form part of all our procedures and policies and the way we manage our customer and employee information. Collection of Personal InformationIn the course of our daily operation, Kleenmaid routinely collects personal information provided in person or, where applicable over the telephone, via customer store visits or through electronic media. The type of 'personal information' collected can include your name, address, date of birth, telephone number, tax file number, health and financial information. In the case of staff recruitment, we may also collect personal information about you by contacting your referees and former employers. For some types of positions, it may also be necessary for us to collect information about you from government authorities such as a Police check. For marketing purposes, we may collect personal information from sources that are publicly available and which you will have received reasonable notice by the holder of your information that this is in the public domain.
Why does Kleenmaid Collect Personal Information?The personal information collected about you is used to establish and maintain records that might correspond with your needs. If you choose not to provide the personal information requested, it may mean that Kleenmaid will not be able to properly service your requirements. Personal information can be used for the purpose of assessing a candidate's suitability for recruitment selection, or to distribute information about the role and the company, that might be of interest. Kleenmaid may also use the personal information collected for the purpose of letting you know about products or services that might better serve your current or future appliance requirements; or to provide timely and cost-effective servicing on your appliances should the need arise.
Use & DisclosureWe will only collect and use your personal information for the main purpose of our business with you, this being either recruitment, marketing or product servicing, except where you consent to us for use for another purpose, or where the other purpose is related to the main purpose and you would reasonably expect us to use the personal information for that other purpose. Methods used to collect your personal information will only be by lawful and fair means, without being unreasonably intrusive. Where reasonable and practicable, we will only collect personal information directly from you.
Access & CorrectionUnder the National Privacy Principles, you have a right to know what information Kleenmaid holds about you, and you are entitled to see this information to ensure it is correct. If you ask, we will tell you what personal information we hold about you and what we do with it. In most cases, unless an exception applies, we will facilitate access to you in the most appropriate way following receipt of your request. We may make a charge for this but any charge we make for access will be reasonable. If we refuse access we will advise you of our reasons for doing so. Kleenmaid aim to make sure the personal information we collect is accurate, complete and up-to-date. If you believe your personal information is not accurate, please contact us (see details at end of document) and we will take reasonable steps to correct it.
SecurityKleenmaid stores information in different ways, including in paper and electronic form. The security of your personal information is important to us and we take reasonable steps to protect it from misuse and loss and unauthorised access, and modification or disclosure. Kleenmaid regularly destroy or permanently de-identify personal information we no longer need. Specifically, personal information held for marketing and product servicing purposes is stored in a secure main frame environment, protected from unauthorised external and internal access by a series of advanced firewalls and password dependant security measures. Information held for recruitment purposes is stored in secure steel filing cabinets under double lock protection. Records are kept for 10 years and then incinerated.
